Position: Director of Orchestra Operations
Reporting Structure:
▪ Position reports to the Executive Director.
▪ Position supervises the Personnel Manager, Librarian and Artistic and Orchestra Operations Manager. Works closely with the Artistic Administrator.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Manages Orchestra Schedule and Orchestra Personnel Issues
- Plans and administers season schedule for orchestra, tours, runouts, community concerts and all concerts. Supervises communication of schedules.
- Supervises orchestra personnel issues in collaboration with the Personnel Manager and Music Director.
- Maintains a thorough knowledge and understanding of the Collective Bargaining Agreement
- Works with the Executive Director to maintain relationships with union committees and unions and to negotiate union contracts and process grievances.
- Works with the Music Director, Artistic Administrator, marketing, the Centre In The Square and other venues to ensure that scheduling needs are met.
- Communicates general information and new policies to the orchestra
Supervises the production of all concerts with the KWS:
- Ensures that all concerts are produced at a high level of excellence.
- Works with the Executive Director to maintain venue relationships and negotiate hall rental agreements.
- Works closely with the stage crew, hall management and staff to produce concerts and communicate accurate concert information to the entire organization. Produces events sheets for each concert.
- Reviews and fulfill the requirements of artist contracts, production riders and production requests.
- Hires and oversees additional concert production staff as needed including stage managers, lighting designers, teleprompter operators, video directors etc.
- Determines the crew call for concerts and work with venue staff to schedule the stage crew to maximize their schedule.
- Creates & manages operations budgets.
- Manages load-in/load-out schedules to venues and the local trucking company
- Communicates / coordinates with artists’ agents the requirements of artist contracts and implement those requirements.
- Works with the Artistic Administrator and Artistic and Orchestra Operations Manager to ensure that artist logistics are completed in a timely and professional way including but not limited to itineraries, transportation arrangements, hotel reservations, rehearsal orchestra, welcome packets, hospitality arrangements.
- Oversees all electronic media projects including radio broadcasts, television broadcasts, recordings, television commercials etc.
- Hires and works with recording engineers and producers to ensure that recording sessions/projects run smoothly.
- Maintains a working knowledge of recording and AV agreements and advises on compliance with agreements when necessary.
Requirements: A minimum of 5 years orchestra operations or related experience; proven ability to effectively manage a staff and a rigorous schedule; knowledge of and enthusiasm for orchestral music; excellent written and verbal communication skills; and knowledge of computers (Microsoft products and OPAS) and information technology are essential. A demonstrated strong background in interpersonal skills is a must with ability to mitigate and solve difficult issues with musicians, managers and conductors. The ideal candidate will have a proven leadership record, capable of “cheerleading” and motivating.
